Put a little Life in your Work

Let’s face it, you didn’t dive into small business ownership because of all of the free time it’s going to afford you. For most of us it means longer hours, less sleep and a lot of uncertainty. However, being your own boss does have its perks. Being the boss means choosing what time of the day to work, freeing up your schedule to spend time with your family when you’d otherwise be chained to a 1970’s era wood-veneered anchor. The reward for the late nights, and the weekend Skype™ meetings is the opportunity to see firsthand that the athletic gene definitely skips a generation. Check out these applications that just may help tip the work/life balance a bit more in your favor.

Document Management

Google Docs is a cloud based application suite that aims to eat the lunch of native applications such as Microsoft Word, Excel and PowerPoint. Docs hangs its hat on the fact that you can access, share and edit any document in your library anywhere you can get your mitts on a browser and an internet connection. This is an appealing option for those of us that like to work via our iPhone or iPads, and take advantage of mobile platforms. This can easily allow you to be productive in unsuspecting places like the waiting room at the dentist. Another great feature is the drag-and-drop capability in the Chrome and Firefox browsers. Simply drag files from your desktop, and they are uploaded to the cloud. You may be asking, “what if I have a bunch of Word, Excel and PowerPoint files that I want to upload?” No problem! You can upload any file format and choose to either leave them as Office format or convert to Google Docs! Best part? Google Docs is free! Learn more at www.google.com/docs.

Dropbox is also a great document repository in the sky, which allows you to save and share all of your files on the web. Dropbox is great for all you Microsoft Office lovers out there who are happy with their current document editor and just want a place to corral their files to make them accessible to your multiple computers. A nice feature that Dropbox added is file integration for Windows and Mac where you can save to the web just like native documents in the file tree. There are also sharing options which allow you to invite collaborators to your files. Dropbox is free for 2GB, and you can add free space by referring friends. You can also get 50GB for $99/year, 100GB for $199/year. Visit www.dropbox.com for more information.

Workflow Tools

ContentCube® is a tailor made workflow tool for graphic designers, filmmakers and photographers. Not only does the application have best-in-class digital asset management features, but it also features presentation tools and secure browser based file sharing. Need the ok from your client like, yesterday? Invite them to comment on preview quality JPEGs in a brandable guest user interface. Subscriptions start at no cost for a basic plan, to $44.95/month for the “team” plan. Check it out @ www.contentcube.com.

WORKetc is a comprehensive workflow tool for small business. Their embedded customer relationship management tool (CRM) keeps all your client obligations organized and allows you to run your entire business from the cloud. Integration with Google Docs and Evernote makes online collaboration effortless. Let’s not forget the money! The integrated billing makes it easy to get paid on time, every time.  Another great feature is the integrated timekeeper function that allows you to easily keep track of your time spent on each project. For $39/month you receive unlimited online storage and contacts. The company also offers comprehensive training and support to ensure that you’re getting all you can out of the application. See what it’s all about at www.WORKetc.com.

First post!

So we are hitting the ground running here @ SkySync!  As you may guess by our tag line, we are a group of hip accountants wanting to push the limits of the industry by taking new technology and using it to revolutionize one of the worlds oldest professions (not THAT oldest profession!).

Our key word is “outsource”……if you don’t know don’t WANT to know how to do something then outsource!  Most small business owners don’t want to keep up with the accounting tasks that are necessary to efficiently and effectively run a small business.  That is where we come in.  We remotely perform all of those tedious tasks that you don’t want to do (and we love to do!) and provide you with the relevant, timely financial information that business owners crave!

Now you may be asking, “Why not just hire Bertha, the lady who used to do my dad’s accounting?”……..well there are many reasons, but here are 2.  1.  Bertha isn’t cool.  2. Bertha can’t do what we do.  We want to be part of your business, helping you grow and make sound managerial decisions based on up-to-date data.  Just think of us like that accounting department you don’t have (and can’t afford) behind that door down the hall to your left, you know, the one with the spare fluorescent light bulbs and extra cases of TP in it.  You could even put a nice “Accounting Dept.” sign on it, we won’t judge.

So, if you are currently daydreaming of scanning your financial data to the cloud and have balance sheets, income statements, etc. magically appearing in your hands every month, enjoy that thought for a while…….then drop us a line and lets talk about how we can make that really happen……really, every month!

Wave Accounting

If I told you that you could get a full bodied, feature rich SaaS accounting solution that integrated with Freshbooks, Google Docs, and read your bank feeds, it would pretty much be game over, right? Well not only is all of that true, but the software is free…..that’s right, free!

I have been using Wave Accounting’s cloud accounting software to keep tabs on my business, and let me tell you something, this software rocks! I have always been partial to anything free (I am an accountant), but this software feels anything but free. All of the “must have” features are there, bank feeds, reports, Freshbooks integration, cloud document management (Google Docs), user friendly interface, etc. It is really hard to top this software for a lot more money than nothing. I would say that this software would satisfy most small to medium size businesses without hesitation.

So if you are looking for a user friendly accounting software with all the high dollar features, give Wave Accounting a try……you’ve got literally nothing to lose! If you need help with setup, and/or a full outsourced accounting solution, drop me a line! brad@skysyncaccounting.com or @SkySyncAcctg

Billable, schmillable…..

When I first thought of starting my own business I read voraciously, and through this research I came across a company on the leading edge of the outsourced accounting industry, DeepSky. Michael at DeepSky is a proponent of the flat-rate billing model for accounting providers. As I read his blog posts, the dichotomy of the billable hour model was revealed to me.

Every year at my traditional accounting firm we have performance reviews where we are accessed based upon our utilization and realization. These two forces pull at each other, and you find yourself fighting against each. Do you become as efficient as possible at the cost of utilization, or do you boost your billable hours and blow budgets?

The only thing that makes sense for a client service based company is to put a value on your product and sell it. This practice in itself brings value to your proposals as you are offering the client piece of mind in knowing what you are going to charge. They can use this knowledge to budget more effectively. The client doesn’t have to look at engaging you as effectively writing a blank check. This can also lead to better client relationships because they never have to wonder, “is he billing me for this?”. They feel as if they can call, email, skype, or twitter you whenever. This allows you to build stronger bonds, and maybe friendships, with your clients.
